Effective Date: 03 November 2025
Applicable To: All depot partners listed on the Route Buddy Platform (“Partners”)
Issued By: TFN (“TFN”, “we”, “our”, “the Service Provider”)
1. Agreement to the Terms
By joining and participating in the Route Buddy Platform, the Partner agrees to be bound by these Terms & Conditions (“T&Cs”). These T&Cs govern the Partner’s listing, participation, responsibilities, and conduct on the Route Buddy Platform.
2. Description of Services
TFN provides the Partner with the following services:
2.1 Digital Listing:
Display and maintenance of depot details, including location, amenities, operating hours, and contact information.
2.2 Platform Visibility:
Inclusion within TFN’s verified depot network, visible to TFN customers via the Route Buddy map, TFN Dashboard, and relevant marketing communications.
2.3 Content Hosting:
Hosting of approved images, descriptions, branding elements, and depot information.
2.4 Support Services:
Access to TFN’s support team for content updates, issue resolution, and listing changes.
3. Platform Performance
TFN will provide the Route Buddy service in accordance with the following standards:
3.1 System Availability:
The platform will maintain an uptime of 98%, excluding scheduled maintenance.
3.2 Listing Updates:
Approved updates to depot information will be applied within five (5) business days.
3.3 Support Response Times:
- Critical issues affecting depot accuracy or customer transactions: response within 4 hours.
- Standard requests such as image or content updates: response within 48 hours (excluding weekends).
3.4 Maintenance Notices:
TFN will provide at least 48 hours’ notice prior to any major scheduled maintenance that may affect listing visibility.
4. Partner Obligations
The Partner agrees to:
4.1 Provide accurate and up-to-date depot information at all times.
4.2 Ensure that all supplied images, videos, logos, and media are original, high-quality, and free of copyright restrictions.
4.3 Inform TFN promptly of any operational, service, or pricing changes that affect the accuracy of their listing.
4.4 Maintain depot operations to TFN’s safety, quality, and service standards.
4.5 Refrain from submitting misleading, unverified, or unapproved promotional content.
5. Advertising & Content Rules
The Partner may only advertise and promote content directly related to depot operations.
5.1 Allowed Content
- Fuel sales
- Overnight parking and driver facilities
- Amenities (showers, restrooms, accommodation, restaurants, etc.)
- Approved transport-related services
- Food and beverage promotions available at the depot
5.2 Prohibited Content
- Promotions unrelated to depot services
- Third-party advertising or competitor branding
- Political, sensitive, or non-transport-related promotions
- Misleading claims or unverified specials
All content is subject to TFN review and approval prior to publishing.
6. Confidentiality & Data Protection
Both parties agree to maintain confidentiality regarding proprietary or sensitive information shared through Route Buddy. TFN will manage all personal information in accordance with the Protection of Personal Information Act (POPIA).
7. Term & Renewal
These T&Cs remain effective for 12 months from the Effective Date and renew automatically on an annual basis, unless terminated by either party with 30 days’ written notice.
TFN may review and update these T&Cs periodically to ensure alignment with platform developments and network standards.
8. Suspension or Termination
TFN may suspend or remove a Partner’s listing if the Partner:
- Fails to meet TFN quality, safety, or operational standards
- Violates advertising or content rules
- Engages in conduct that harms TFN’s brand, customers, or reputation
TFN will issue written notice outlining the reason and effective date of suspension or removal.
9. Acceptance of Terms
By participating in Route Buddy, the Partner confirms that they have read, understood, and agreed to these Terms & Conditions.
